Closing Day Procedures

A manager should be the only person to perform End of Day Functions. To end the day's sales, you must ensure that all employees have been cashed out and all employees have been clocked out except for the person performing the End of Day procedure.

You should first shut down all other computers, leaving the POS Server and POS Station Number 1.

1. Go to each POS Station (except for the POSSERVER and Station 1), from the Table Layout screen, Press [Manager].

2. Press [Special Functions].

3. Press [Shut Down System]. The system will then shut itself off. Once all POS Stations have been shut off, you can then proceed to turn off the Master POS Station.

4. Ensure that you are at Station 1. You cannot End the Day's Sales from any other computer.

5. From the Table Layout screen, Press [Manager].

6. Settle All Charges and Close the Batch as explained in Settle All Credit/Account Charges, Settling/Closing the Batch Section.

7. Press [Sales Functions].

8. Press [Day: Finish Sales]. The system will print the Ð''End of Day Report'

Once it has completed printing the report, a button will appear stating to press button to Turn Station Off. When printing has completed, press button in order to turn the station off.

The system will then indicate to you that Ð''It is now safe to turn off your computer'. You may then turn off the computer at this point.

Voiding a Credit Card/Account Charge

If an error has been detected on a customer's check after a customer has already paid by credit card and the charge has been authorized, a manager will have to void that charge.

IMPORTANT REMINDER

Ð"? You MUST FIRST unclose the table where the charge was placed before voiding a credit/account card charge. Refer to Unclosing a Transaction.

Ð"? Once the table has been unclosed, you can then void the charge and proceed to close the check with the correct amount and/or type of payment.

1. From the Table Layout screen, Press [Manager].

2. Press [Authorization Manager]. You will be in the Authorization Manager screen.

3. Press [Void]. A window will appear asking you to, Ð''Enter Reference Code'.

4. Enter the Reference Code found on the receipt.

5. Press [OK]. Another window will appear asking you to confirm voiding the credit card charge.

6. Press [Yes] and the charge will be voided. OR Press [No], the charge will not be voided and you will be returned to the Credit Authorization screen.

Unclosing a Transaction

NOTE:

Ð"? While the employee performs the following steps, wherever necessary, the manager will have to swipe their card in order to allow the employee to gain access to certain functions within the system.

1. From the Table Layout screen, Press [Manager].

2. Press [Transaction Viewer]. The Transaction Screen will appear.

3. Press [Select Employee]. A list of all employees will appear.

4. Select the employee for who you would like to unclose the transaction.

5. Press [OK].

6. At the top left of the screen, select Show Closed Transactions. All closed transaction done by the employee selected will be displayed.

7. Select the transaction to unclose. Selected transaction will be highlighted.

8. Press [Unclose Trans]. A Warning box will appear asking you to confirm that you want to unclose this transaction.

If there are other transactions you need to close, you can do so now. Once you have unclosed the required transactions,

9. Press [Yes]. An Information box will appear telling you that the transaction has been unclosed and to what table number. Press OK.

10. Press [Leave], and you will return to the Table Layout screen.

In order to properly close the transaction(s), you will have to logout and get the employee responsible for the table(s) to login and close the table(s) under the correct type.

Interpreting the Cash Out Report

A Detailed Cash Out Report will show you each transaction closed by the employee, whether the transaction was closed by Cash, by Credit Card, or on Account, and the Tip received for each transaction.

Those transactions closed by Credit Card or on Account need to be checked against the Credit Card or on Account receipts that have been signed and should have been kept by the employee.

At the bottom of the Cash Out Report, there is an amount titled, Ð''Amount due minus tips'. It is this cash amount that the employee owes the establishment if all charges/tips have been verified and are correct.

If there are errors then you can use the Total Tender to show how much money the employee collected for the establishment. The amount represents Cash and Credit Charges received (it does not include tips). The employee therefore owes the Cash portion plus all Credit Charge slips, which together should add up to the Total Tender amount.

If the amount is negative, this means that the establishment owes the employee money. This negative amount represents the employee's tips. This usually occurs when the employee has closed most or all their transactions by Credit Card or on Account. The employee owes the establishment the Credit Card or on Account receipts and the tips added to the credit charges will have to be given to the employee by the establishment.

If an employee has accidentally closed a transaction under the wrong type, for example, a table that paid cash was closed as a VISA, that transaction
