10-6        Although tempting, not using this information unless the data can be confirmed on the record by reputable source, or sources, would be a wise decision. Contacting the company to ask for a response would be an appropriate first step. As mentioned, using the information to one’s advantage would be tempting, others would advise that since this information was clearly intended to be private they should contact the webmaster to let him or her know this information is accessible. Since it is clear that this information is not meant for the general public, or for anyone other than the client and the company itself, you should report it to the webmaster. However, even questioning whether or not to use such information could be avoided all together. Ethically, using confidential information is simply wrong. Then there is of course the fact that properly documenting your information is not only ethical, but important for your audience. Citing information that was intended to be confidential, could give your readers the wrong impression about your company.

10-7        You can use the same approach for planning website content as you use for planning printed reports, as long as, you take into consideration that web readers are demanding, reading online can be difficult, and the web is a nonlinear, multidimensional medium. When developing online reports and websites in general, start by planning the structure and navigation paths before writing the content. Next, make sure you let reader be in control by giving them navigational flexibility. Finally, break your information into chunks that can be scanned and absorbed quickly. Printed reports, on the other hand, convey information that can range from extremely positive, to extremely negative; thus, the approach you take should be carefully considered. Most reports use a topical organization. Information is arranged by comparison, importance, sequence, chronology, geography, and category.

10-8        If I were writing a recommendation report for an audience that does not know me I would use the indirect approach, focusing on logic, because the audience may be skeptical and by guiding them along a rational path they will be more likely to accept my conclusion. Since the audience is unsure of someone’s credibility or isn’t ready to accept the main idea of the report without first seeing some reasoning and evidence, the indirect approach is a better choice. The indirect approach, focusing on logic is better than the direct approach, focusing on recommendations because it gives the person a chance to prove their points and gradually overcome audience reservations. But it’s also a good idea to keep in mind that the longer the document the less effective the indirect approach is likely to be. An audience that doesn’t know you can be skeptical or even hostile that’s when the indirect approach comes into play. The indirect approach is used to logically build towards your conclusion or recommendation. Using the indirect approach allows the person to guide the audience along a rational path towards the answer, they are more likely to accept it when they encounter it. The direct approach is often used for reports because it is efficient and easy to follow. But the direct approach is best used when the audience is likely to be receptive or at least open-minded. The direct approach also uses an up-front type of arrangement which saves time and makes the rest of the report easier to follow. But the audience also doesn’t know the speaker so being up front with them can cause skepticism because it can be too fast paced and forward. The indirect approach is the best option in this type of situation.
